Information related to study

 

1) INFORMATION RELATED TO STUDY

The information related to the rights and duties of students at our faculty, study issues, and all of the forms and certificates pertaining to studies can be obtained at the Administrative Office for Undergraduate Programmes (lobby, room 35A) every day during office hours, between 11:00 and 13:00. You can also reach us at studentski.referat@ff.uni-lj.si . 

 2) REPORT BOOK 

Since the 2011-2012 academic year, students no longer receive a physical copy of the report book.   

3) STUDENT INFORMATION SYSTEM (VIS) 

Upon obtaining a username and password, students can access VIS through https://vis.ff.uni-lj.si/ or the link found at the Faculty of Arts website. For the first login, the personal username (in the case of students: the enrolment number) and password are required. The sign-in process for VIS has recently been unified with the University of Ljubljana's system. The username and password are received upon acquiring a digital identity. If a digital identity has already been acquired for the purpose of access to the Eduroam wireless network, it can also be used to access VIS.     

In the event of problems, students are to contact ID portal administrators through the following links:

VIS provides students with the following functionalities:

- Apply for exam

- Remove exam application

- Overview of active applications

- Overview of exam dates

- Overview of exam results

- Apply for midterm or partial exams

- Remove midterm or partial exam application

-  Overview of midterm or partial exam results 

- Overview of all published midterm and partial exam dates

- Overview of completed obligations 

- Enrolment to the next study year and the graduation year

- Student requests . 

 

Applying to Take an Exam 

After you have successfully signed into the system with your username and password, please select the "Apply for Exam" button from the menu on the left. From the field "Course" on the right side of the screen, select the course in which you aim to take the exam (only those courses that have not yet been completed by taking an exam are displayed). Confirm your selection by clicking on the "Apply!" button. A list of exam dates for the selected course will appear. Select the desired date by clicking on the "+" button. This completes the application process. If you are applying for an exam that includes a fee, you will receive an invoice for the amount determined by the Faculty of Arts price list. 

If a previous application is still active for the selected course (an application is considered complete when the student receives a grade or removes the application), you will not be able to apply for the same course. You can access the overview of active applications by selecting"Overview of Active Applications" from the menu on the left. 

Removing an Exam Application 

Select "Remove Exam Application" from the menu on the left. On the right side of the screen, select the active exam application that you wish to remove. Only the active exam applications that can still be removed are displayed. Confirm your selection by clicking on the "-" button from the left side of the table. This completes the application removal process. You can access the overview of active applications that cannot be removed by selecting "Active Applications" from the menu on the left. 

Overview of Active Applications

Select " Active Applications" from the menu on the left. All active applications are displayed. An application is considered active until completed when the student receives a grade or removes the application. 

Overview of Exam Dates 

Select "Exam Dates" from the menu on the left. From the field "Course" on the right side of the screen, select the course of interest and click on the "Find!" button.  All future exam dates for the selected course are displayed. 

Overview of Exam Results 

Select "Exam Results" from the menu on the left. From the field "Course" on the right side of the screen, select the course of interest. Confirm your selection by clicking on the "Find!" button. The result of the last exam in the selected course is displayed. 

Applying for a Midterm or Partial Exam 

Select "Apply for Midterm or Partial Exam" from the menu on the left. From the field "Course" on the right side of the screen, select the course of the midterm exam (only the courses that have not yet been completed by undergoing the exam are displayed).  Confirm your selection by clicking on the "Apply!" button. A list of midterm or partial exam dates for the selected course will appear. Select the desired date by clicking on the "+" button. This completes the application process. 

Removing a Midterm or Partial Exam Application 

Select "Remove Midterm or Partial Exam Application" from the menu on the left. A list of courses with active midterm or partial exam applications that can still be removed is displayed on the right side of the screen. You can remove the application by clicking on the "-" button. 

Overview of Midterm Exam Results and Other Obligations

Select "Midterm or Partial Exam Results" from the menu on the left. From the field "Course" on the right side of the screen, select the course of interest. The entry of the midterm or partial exam results into the VIS database is not compulsory for professors (an application can remain ungraded). The manners of informing students about the midterm or partial exams results can therefore vary (bulletin board, etc.) 

Overview of All Published Midterm, Partial Exam, and Other Obligations Dates 

Select "Midterm Exam Dates" from the menu on the left. From the field "Course" on the right side of the screen, select the course of interest and click on the "Find!" button. 

Overview of Completed Obligations 

Select "Report Book" from the menu on the left. All completed study obligations are displayed on the screen. The transcript includes a listing of the course, grade, and the date of the exam. Your current average grade is displayed at the bottom. For personal records, the transcript can be printed out by clicking the "Print!" button. Potential fourth and subsequent applications for the same exam are subject to fees regardless of the student's status. Before applying for the same exam for the fourth and subsequent time, you are required to visit the department office.   

 

4) APPLYING FOR DIPLOMA EXAMS 

PRE-BOLOGNA UNIVERSITY PROGRAMMES  

You apply for the diploma exam with the special form called "Diploma Exam Application" (210 × 297mm pink cardboard file for dual-subject programmes and 210 × 297mm blue cardboard file for single-subject programmes). The deadline for diploma exams is the 15th day of the month preceding the month of the actual diploma exam (the exception being the September deadline!). The application must contain the candidate's complete information (including marriage certificates for candidates who have married during the study, confirming their official last name), exact information regarding the programme, orientation, and module (teaching - non-teaching), and the grade of the diploma thesis. 

FIRST-CYCLE BOLOGNA PROGRAMMES 

You can apply for the diploma exam or the diploma defence via the VIS system as you would for any other exam, since they are part of the curriculum and are, therefore, included in the report book.

 

5) RULES AND REGULATIONS REGARDING STUDY ISSUES 

All issues related to study are regulated by the Statute of the University of Ljubljana, the Rules of the Faculty of Arts, the faculty acts relating to the rights and duties of students, and exam management as stated below:

- Rules on Examination and other Forms of Knowledge Assessment and Evaluation,

- Rules on the Completion of First-Cycle Study,

- Criteria for Resolving Student Requests and Applications,

- Diploma Rules (for old/pre-Bologna study programmes),

- Rules on Part-Time Undergraduate Study,

- Rules on the Discipline Liability of Students of the University of Ljubljana, and

  6) CERTIFICATES AND DUPLICATES

Upon enrolment, the student receives six certificates of enrolment and the application form for the student monthly public transit pass. All additional certifications of enrolment and duplicates of various documents can be obtained at the Administrative Office for Undergraduate Programmes or ordered online via the VIS information system. All services, with the exception of issuing the confirmation of enrolment, are pursuant to fees as determined by the Faculty of Arts price list. 

 

7) AUTHORISATIONS 

In the case of a student's absence and in accordance with the provisions of the Personal Data Protection Act, said student is are required to provide written authorisation for their parents or third persons to manage their formal matters at the faculty.
