REGISTRATION AND PAYMENT FOR ACTIVE PARTICIPANTS OF THE CONFERENCE UNTIL 30TH JUNE 2025

The membership to the ASMOSIA association is mandatory for all participants of the conference. For further information about the Association's membership, please check the Association's website (http://asmosia.willamette.edu/) or contact Association's Secretary and Treasurer, Dr. Pilar Lapuente (plapuent@unizar.es).

All fees include 22% VAT and do not cover any health insurance, visa, travel or accommodation costs. 

 

Each person attending the conference is required to register. In the case of an institution, payment of several conference fees at the same time is possible via a purchase order. In this case, please select the institution as the payer and attach the order form (s. below).

 

The regular and student registration fee covers coffee breaks at the conference, conference kit, book of abstracts, entrance fee at the City Museum of Ljubljana, opening reception on 15th September 2025, afternoon programme on 17th September 2025 (except the trip to the Podpeč quarry and the pile dwelling exhibition MorostIg, for which a contribution of 30 € per participant is foreseen).

 

The accompanying person fee includes opening reception on 15th September 2025, afternoon programme on 17th September 2025 (except the trip to the Podpeč quarry and the pile dwelling exhibition MorostIg, for which a contribution of 30 € per participant is foreseen). Accompanying persons who would like to attend the conference will have to register as regular participants.

Charged extra:

1 For the afternoon programme on 17th September 2025 you can also choose one of four other tours which are free of charge: archaeological or geological tour of Ljubljana, visit to the Restoration Centre or visit of the exhibition “Baroque in Slovenia”.

Cancellation Fees:
Before 31 July 2025: 20 €
After 31 July 2025: no refund

 

If the invoice is changed after payment, the following fees are due:
For each change of invoice or rebooking: 20 €

GENERAL TERMS
You will receive an invoice based on your completed registration form. By submitting the registration form, you are concluding a distance contract (Article 128 (1) of the Consumer Protection Act) with University of Ljubljana, Faculty of Arts, Aškerčeva cesta 2, 1000 Ljubljana (e-mail: ciff@ff.uni-lj.si). The conference constitutes a leisure service in which the organiser undertakes to fulfil its obligation within a specific time limit, which excludes the consumer’s right to withdraw from the contract within 14 days without giving any reason for his/her decision (Article 135 (12) of the Consumer Protection Act). However, the organiser accepts conference cancellation requests under the following conditions: 1) cancellations must be made no later than 31 July 2025 to the following email address: ciff@ff.uni-lj.si and a cancellation fee of 20 € is charged; 2) you do not have to give a reason for cancelling; 3) if you register for the conference after this date, you can no longer cancel your participation; 4) if you do not cancel in time, you will be charged the full registration fee, or you will not be given a refund of the registration fee that you have already paid for the conference.
University of Ljubljana, Faculty of Arts, Aškerčeva cesta 2, 1000 Ljubljana (hereinafter UL FA) does not recognize any service provider of out-of-court dispute settlement as competent to settle disputes that may be initiated by consumers pursuant to the Out-of-Court Settlement of Consumer Disputes Act (ZIsRPS). This means that any disputes shall be resolved before the competent court. UL FA is a provider of online services that, pursuant to Article 32, paragraph 4, of ZIsRPS, provides an electronic link to an online dispute resolution platform available here.

PERSONAL DATA PROTECTION
The University of Ljubljana, Faculty of Arts, Aškerčeva cesta 2, 1000 Ljubljana, will process your personal data for the purpose of the above-mentioned conference, communication and payment (legal basis is Article 6/1(b) GDPR). Data will be stored for five years after the conference has ended or all obligations have been paid, whereas files on the certificates issued containing first and last name as well as institution shall be stored permanently. If the time limit for the retention of personal data is laid down by law, data will be stored in accordance with such law (e. g. storage of invoices pursuant to the Law on value added tax).  If you do not wish to provide us with your personal data, you will not be able to register for the conference. Some personal data (first and last name and e-mail address) will be passed on to the conference provider.
Please be informed that any time you can exercise your right of access to your personal data, the right to rectification, the right to erasure, the right to restriction of processing and the right to data portability. If you have any questions regarding the protection of your personal data, please contact the Data Protection Officer of the University of Ljubljana at dpo@uni-lj.si. If you feel that your rights are not being exercised properly, you can complain to the Information Commissioner of the Republic of Slovenia (ip-rs.si).
By submitting your registration form, you accept the terms and conditions of participation and you authorise UL FF to process your personal data for the purpose of the conference.
